Job Description
General Responsibilities:
Performs administrative and general office duties of a responsible and confidential nature. Produces a variety of correspondence, reports and presentations using the appropriate software for word processing, graphics, and spreadsheets. Screens telephone calls and visitors. Schedules and maintains calendar of appointments, meetings and travel itineraries ... and coordinates related arrangements. Routes or answers routine inquiries. Maintains files, department office supplies and mail. Prepares special reports. Gathers and summarizes data. May serve as a liaison between office and corporate functions.
Essential Roles and Responsibilities:
• Under direct supervision, provides general administrative support to all departments and/or group of professionals of a basic and routine nature.
• Answers telephones, screens calls and forwards messages.
• Greets visitors and informs office staff of arrival.
• Type correspondence, documents, and spreadsheets. May input data into databases.
• Compiles, and analyzes basic information for inclusion in reports or presentation materials, prepares charts, graphs, or tables as necessary.
• Receives and responds to routine correspondence following established procedures.
• Composes, prepares, edits, and proofreads letters, reports, and other correspondence.
• May be responsible for preparing invoices and billing clients.
• Reviews / Maintains files of correspondence, reports, records, and contracts.
• Opens, sorts and routes mail to the appropriate persons.
• Submits and approves vendor /subcontractor invoices in Coupa.
• Makes copies and files various documents.
• Project Registration.
• Assist with fleet maintenance.
• Scheduling events on calendars.
• Works with Marketing as needed.
• Restock & Supply ordering.
• Placing Orders for events / prepare event setup & takedown.
• Follow safety rules, guidelines, and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
Requirements:
• High school diploma or equivalent.
• Limited experience performing office support activities required.
• Strong English reading, writing and grammar skills for routine business correspondence.
• Proficient in Word, Excel, and Power Point.
• Valid driver’s license with acceptable violation history.
The expected salary range for this position is listed below. The base range may be adjusted based on the specific location of the applicant. Final agreed upon compensation is based upon individual qualifications and experience.
$21.75 - $30.50 per hour
