This is a non-exempt position with a 40-hour workweek.
SUMMARY:
The Receptionist will greet and assist visitors and assist with general office administration duties.
ESSENTIAL FUNCTIONS:
• Reception
• Greet and assist visitors, 7:30am – 430pm, Monday – Friday
• Prepare for visitors by assigning temporary workspaces and updating visitor event calendar
• Triage and forward incoming voicemails to the appropriate party
• Communicate building announcements to onsite occupants and visitors as appropriate
• Always maintain a neat reception lobby
• Administrative
• Update Lundbeck email distribution lists and office maps as changes occur
• Ordering snack and beverages, filling snack racks and refrigerators
• Order office supplies and maintaining office supply centers
• Schedule Town Hall presentations and distribute content and presentations
• Organize catering for weekly lunches and meetings, facilitate delivery and set-up
• Coordinate special requests and attention to detail for janitorial crew and coffee service vendor
• Create, distribute, and manage staff, vendor and temporary access badges, and store related photos
• Manage Expense Reports for Facilities Manager
• Assist Facilities Manager, CoE Coordinator, Site VP as needed
• Assist with document formatting and preparation as needed
