Purpose ... The Patient Service Representative III will master the basic duties of a Patient Service Representative I and II; supporting nursing and physician staff in providing for the needs, comfort and care of patients. The Patient Service Representative III knows and consistently implements the organization’s mission and all approved policies, protocols and procedures. Also regularly supports compliance and accreditation efforts as assigned including, but not limited to OSHA, HIPAA and company policies.
Responsibilities/Essential Functions:
• Greets all patients and visitors in a timely and courteous manner, providing a high level of customer service. Acts as a resource for all inquiries related to Practice services/departments.
• Ensures patients are properly registered for visits. Verifies and updates patient information, including demographics, in appropriate computer programs. Notifies appropriate department(s) of patient’s arrival, in a timely manner.
• Collects co-pays and patient balances due for each visit as required, maintaining a high level of confidentiality, and utilizing tact and diplomacy. Refers patients to financial counseling as needed.
• Scans patient insurance cards into Centricity and effectively communicates updated information to authorization specialist.
• Effectively manages assigned physician schedules daily, assesses flow of patients, and reschedules patients as needed and / or requested. Facilitates next day schedules and maintains a call back list.
• Ensures reminder phone calls are placed to patients with upcoming appointments. Reschedules appointments as needed and / or requested by patient.
• Accurately schedules return appointments for physician and RN visits as requested by providers. Effectively monitors and produces reports on unscheduled patients and ensures that patients are contacted.
• Answers multi-line phone promptly and courteously, directing calls to appropriate destinations.
• Maintains cleanliness of lobby area throughout the day, including organizing reading materials.
• Accurately completes moderately complex filing tasks, in accordance with prescribed standards.
• Provides effective clerical support to other departments as requested.
• Effectively completes other duties and projects as assigned by management and leadership.
• Serves as a resource to co-workers in use and navigation of EMR.
• Provide on-the-job training/orientation for newly hired Patient Service Representatives and gives feedback to both new staff and Patient Service Representative Manager as to their progress during orientation.
• Exhibit Leadership and serve as a mentor for Level I and Level II Patient Service Representative staff.
• Assist other employees in workflow efficiency ideas.
• Provide ongoing training for co-workers.
• Work effectively with new medical providers and assist in developing their work flow and managing practice.
• Works closely with management to provide feedback on employee disciplinary action as needed.
Additional Skills & Qualifications:
Experience, Qualifications/Education:
• High school diploma or equivalent required
• Should we add a certain amount of years of experience as an PSR, 5-10 years
• Clinical business training preferred
• Zero to two years’ work experience in customer service and/or reception, preferably in healthcare environment
• Knowledge of computer/telephony support, preferably in a health care environment
• Excellent verbal communication skills
• Competence with computer processing functions and other standard office equipment
• Ability to manage and prioritize multiple tasks
• Ability to calmly and professionally resolve customer issues with diplomacy and tact
• Ability to work independently with minimal supervision
• Strong organizational skills
