JOB DESCRIPTION | Event Manager/Admin Assistant ... Department: FOH
The Event Manager works with the event production team to execute a beautifully catered event, off-site and on-site at BDP. The Event Manager leads other staff by example, directs and delegates set‐up and breakdown, as well as managing food and beverage service throughout the event. The utmost importance is put on taking care of the client in a timely, courteous, and efficient manner. All functions are carried out to maintain an environment of teamwork. This position also includes meeting with the Event Production team to discuss the scope of events and review all details in advance, and follow up after events.
The ideal candidate would be someone who is creative, has a flexible schedule and has at a minimum two years of catering or restaurant industry experience. Evenings and weekends are required.
Primary Event Manager Duties
• Manage the majority of the events at BDP, including the BDP Urban Farm Dinner series on Wednesday nights and some Thursdays, weekend showers and luncheons, and other smaller events
• Managing events includes overseeing the staff, set up, service and event execution, breakdown and closing up the building
• Manage corporate and private residence events at venues, corporate offices, and in homes.
• Schedule staff for events
• Manage the inventory and organization of beverages: liquor, non-alcoholic drinks, coffee, ice
• Manage the inventory and organization of event equipment
• Assist event production team with administrative tasks
Event Manager Duties
• Manage with timely, courteous, and efficient leadership and customer service skills
• Act as the on-site contact and BDP representative for the client in the absence of the Event Producer
• Assign staff roles and responsibilities, train as needed
• Ensure that all staff report to work and report any absent or late arrivals
• Inspect staff grooming and uniforms, rectify any deficiencies
• Hold pre-shift meeting to review menu and service standards
• Coordinate service with the Event Producer and the kitchen
• Direct buffet set up (if necessary) and breakdown
• Set and bus tables as needed
• Anticipate client/guest needs, respond promptly and acknowledge all requests
• Monitor and handle all client/guest concerns or complaints
• Communicate with other vendors and on-site management
• Supervise event functions to ensure all run smoothly and efficiently
• Ensure compliance with venue policies and procedures throughout the event
• Maintain all areas with proper supplies, organization, and cleanliness
• Kindly and effectively instruct staff to rectify any organization/cleanliness deficiencies
• Coordinate breaks for all FOH staff
• Communicate additions or changes to staff assignments as they arise, remaining flexible is key
• Ensure all staff duties are completed before staff sign out
• Complete Event Report at the end of each event, sending to Event Producer directly
• Learn the names and personally recognize our regular clients
• Uphold and ensure compliance with all Big Delicious Planet standards
• Attend scheduled meetings as requested
• Review equipment orders as needed
• Report to BDP to pack necessary equipment, and return equipment to BDP after event
• Perform other duties as assigned
• Jump in where needed
Requirements and Expectations
• Must be fully vaccinated
• ServSafe Food Manager Certification - if you don’t have this we can sign you up for a class
• Availability to work a flexible schedule - we’ll give as much notice as possible for event dates, but to hope you’d be able to work last minute events
