Accounting Administrative Assistant
The Administrative Assistant will report directly to the Controller of the Atlanta office. This position will be responsible for tracking and following up on all accounting deadlines. As the Administrative Assistant, you will play a vital role in ensuring that the accounting department makes all of their deadlines and escalates issues to the Controller as needed. You will assist in managing the Controller’s day to day activities including but not limited to managing their calendar, managing their email and assisting all accounting team members as needed.
Essential Duties & Responsibilities
• Assists with preparation of meeting agendas
• Maintains Controller’s schedule
• Coordinates meeting requests ensuring availability of all parties
• Maintains and updates all accounting related trackers on a monthly and/or as needed basis
• Reviews trackers daily to ensure all tasks are being completed on time ensuring no deadlines are missed (mortgage/tax/month end etc)
• Communicates with team regarding deadlines and missing information escalating issues to Controller when needed
• Maintains and updates the Atlanta in office schedule
• Reviews Controller’s emails to eliminate non-necessary items
• Monitors cash calls to ensure that all properties receive timely responses and escalate issues as needed to ensure compliance
• Reviews any mail coming into the Controller’s office and routes them appropriately
• Deposits checks that come into the Atlanta office
• Coordinates outgoing overnight items and preps items for mailing
• Assists with special projects as needed
• Ensures all meetings are recorded and files the recording on the share drive as appropriate.
• Answers calls and emails as needed
Education & Experience
• High School Diploma or Equivalent
• Strong attention to detail and organizational skills
• Ability to understand and perform all on-site software functions; basic computer skills required
• Outlook and SharePoint experience preferred
• Accounting knowledge preferred
