Job Summary

We are seeking a detail-oriented and experienced Accounts Payable & Receivable Specialist to join our finance team. This role is responsible for managing the full cycle of accounts payable and accounts receivable processes to ensure timely and accurate processing of invoices, payments, collections, and reconciliations. The ideal candidate thrives in a fast-paced environment, maintains high accuracy, and contributes to the overall financial health of the organization.

Key Responsibilities

Accounts Payable:

Process vendor invoices accurately and efficiently, ensuring proper coding, approvals, and compliance with company policies
Manage weekly and monthly payment runs (ACH, wire transfers, and checks)
Reconcile vendor statements and resolve discrepancies promptly
Maintain accurate vendor records and files
Assist with month-end close activities, including accruals and aging analysis

Accounts Receivable:

Generate and send customer invoices in a timely manner
Monitor customer accounts and follow up on outstanding receivables
Perform collections activities including calls, emails, and statements
Reconcile customer accounts and resolve billing disputes
Prepare accounts receivable aging reports and analysis

General Accounting Duties:

Perform monthly account reconciliations for AP and AR sub-ledgers
Assist with financial audits and provide supporting documentation
Ensure compliance with internal controls, GAAP, and company procedures
Support continuous process improvement initiatives within the AP/AR function
Collaborate with other departments (Sales, Procurement, Operations) to resolve issues

Qualifications & Requirements

3+ years of hands-on experience in Accounts Payable and Accounts Receivable
Strong knowledge of accounting principles and best practices
Proficiency in accounting software (QuickBooks, NetSuite, Sage, or similar) and Microsoft Excel (advanced skills preferred)
Experience with ERP systems is a plus
Excellent attention to detail and high level of accuracy
Strong organizational and time management skills
Effective communication and interpersonal skills
Ability to work independently and as part of a team
Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
