Overview
The Executive Administrative Assistant (EAA) provides dedicated, high-level administrative support to Carenet Health’s President and Chief Financial Officer (CFO). This role requires exceptional organizational ability, strong business acumen, and the ability to operate with precision in a fast-paced environment. The EAA ensures seamless coordination of daily operations, executive workflows, and critical business priorities for both leaders.
Responsibilities
- Provide proactive administrative support to the President and CFO, including complex calendar management, meeting coordination, travel arrangements, and task prioritization.
- Screen, prioritize, and respond to email, phone, and correspondence on behalf of the President and CFO, ensuring timely and appropriate follow-up.
- Prepare, edit, and refine executive-level documents, financial packets, presentations, board materials, and operational reports; gather and compile information as requested.
- Manage and reconcile expense reports and reimbursements for the President and CFO, ensuring accuracy and compliance with company financial policies.
- Coordinate high-visibility meetings and events, including executive reviews, leadership offsites, client/business development meetings, and cross-functional sessions.
- Conduct research and compile data relevant to financial planning, operational strategy, market insights, or executive decision-making.
- Support special projects, strategic initiatives, and operational priorities driven by the President and CFO, collaborating with internal stakeholders as needed.
- Maintain strict confidentiality and exercise discretion and sound judgment in all matters involving financial, operational, or executive information.
Qualifications
- Bachelor’s degree or equivalent experience.
- 5+ years of experience supporting senior executives, preferably in operations, finance, or corporate leadership.
- Exceptional organizational and time-management skills, with the ability to manage competing priorities in a fast-paced setting.
- High attention to detail and accuracy, especially when preparing executive or financial materials.
- Excellent written and verbal communication skills, with the ability to interact professionally with executives, clients, and internal teams.
- Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook); comfort working with financial or operational systems is a plus.
- Ability to maintain strict confidentiality and handle sensitive information with discretion.
- Strong problem-solving skills and the ability to anticipate needs and address issues proactively.
