About the Role
We are seeking a highly organized and proactive IT Systems & Operations Manager to oversee and optimize all corporate technology tools and systems across Proper and its portfolio companies.
This role will manage our IT infrastructure from a corporate perspective — ensuring smooth operation of platforms like Microsoft 365, SharePoint, Asana, Slack, Fathom, and other key systems. The ideal candidate is a hands-on problem solver who can manage onboarding and offboarding processes, standardize workflows across multiple entities, and ensure the organization’s technology stack is secure, unified, and scalable.
This is not a software implementation role — it’s an IT operations and systems management role designed for someone who thrives on maintaining order, improving efficiency, and ensuring reliability across a fast-moving organization.
Key Responsibilities
Systems Management & Administration
- Oversee Proper’s suite of corporate IT tools, including Microsoft 365, SharePoint, Asana, Slack, Fathom, and related applications.
- Manage user access, permissions, and integrations across systems to ensure security and consistency.
- Lead the unification of SharePoint sites and company-wide collaboration tools for improved accessibility and version control.
- Partner with leadership to define and maintain IT policies, procedures, and governance standards.
Onboarding & Offboarding
- Manage all IT-related aspects of employee lifecycle processes, including account setup, hardware allocation, access provisioning, and termination workflows.
- Maintain and track IT assets (laptops, peripherals, and software licenses).
- Ensure timely deactivation and data retrieval during offboarding.
IT Support & Maintenance
- Serve as the first point of contact for internal IT requests, troubleshooting hardware, connectivity, or software issues as they arise.
- Coordinate with external IT vendors and managed service providers for escalations and ongoing support.
- Maintain documentation for all systems, tools, and internal IT processes.
Technology Optimization & Governance
- Evaluate new tools and recommend improvements to enhance productivity, collaboration, and security.
- Maintain centralized visibility into all corporate tech platforms to ensure standardization and alignment across entities.
- Ensure adherence to cyber hygiene best practices, including password policies, MFA, and secure data management.
Qualifications & Experience
- Bachelor’s degree in Information Technology, Computer Science, or related field.
- 5+ years of IT administration or systems management experience, ideally within a multi-entity or high-growth environment.
- Hands-on experience managing Microsoft 365, SharePoint, Asana, Slack, and other productivity platforms.
- Working knowledge of IT security principles, account management, and hardware troubleshooting.
- Strong organizational and documentation skills; able to create structure in fast-paced environments.
- Excellent communication and collaboration abilities across technical and non-technical teams.
- Proven ability to manage multiple systems and priorities with precision and accountability.
