Position Summary
The Executive Assistant will provide high-level administrative and operational support to Paradromics’ executive leadership team, ensuring smooth coordination across projects, meetings, and communications. This role requires exceptional organization, discretion, and communication skills, as well as the ability to manage multiple priorities in a fast-paced, mission-driven environment.
The ideal candidate is a proactive problem-solver who thrives in an innovative, dynamic setting and takes pride in supporting executive functions with professionalism and precision.
Key Responsibilities
- Provide comprehensive administrative support to the CEO and executive team, including calendar management, scheduling, and travel coordination.
- Prepare, edit, and manage executive correspondence, reports, and presentations.
- Coordinate internal and external meetings, ensuring agendas, materials, and logistics are in order.
- Serve as a liaison between executives and internal teams, ensuring effective communication and timely follow-up on action items.
- Maintain confidentiality and handle sensitive information with discretion.
- Assist in tracking key initiatives, project timelines, and deliverables to ensure organizational alignment.
- Support onboarding and communication for executive-level partners, clients, and stakeholders.
- Manage expense reports, purchase orders, and other administrative documentation.
- Contribute to process improvement and operational efficiency within the executive office.
- Bachelor’s degree in Business Administration, Communications, or a related field.
- 5+ years of experience supporting C-level executives in a fast-paced or technology-driven organization.
- Exceptional organizational and time management skills with strong attention to detail.
- Excellent written and verbal communication abilities.
- High proficiency in productivity tools such as Microsoft Office Suite, Google Workspace, and project management software.
- Ability to prioritize and handle multiple tasks simultaneously while maintaining accuracy and professionalism.
- Proven track record of maintaining confidentiality and exercising sound judgment.
Preferred Qualifications
- Experience in biotechnology, healthcare, or emerging technology industries.
- Familiarity with remote collaboration tools such as Slack, Asana, or Notion.
- Strong interpersonal skills and a collaborative approach to problem-solving.
- Prior experience managing executive communications or board-level coordination.
