QUALIFICATIONS
- Possesses strong and effective interpersonal skills including ability to speak clearly and concisely
- Capable of providing active communication and positive relationships with others including effective oral presentation of information and ability to respond to questions
- Proficient in the usage of the English language, both written and oral (proficiency in grammar, spelling, punctuation, and related communication skills, including proofreading, editing, and creating original documents)
- Ability to read, analyze, interpret, and implement ideas contained in technical documents, reports, regulations, etc.
- Ability to effectively write, develop, and edit reports and communications
- Ability to perform basic mathematical functions such as addition, subtractions, multiplication, division, percentages, decimals and fractions
- Ability to create spreadsheets that assist with the computation of data
- Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form
- Ability to assist staff, community members, and all who have inquiries in seeking information.
- Capable of representing the District in a professional manner, which includes but is not limited to confidentiality, collegiality, and additional training
- Ability to remain flexible and to multi-task, depending on the demands of the job
- Working knowledge of and ability to effectively use Google (Calendar, Gmail, Drive, Documents, etc.) and Windows (Microsoft Office, Excel, PowerPoint, Outlook, etc.) and other computer applications

PERFORMANCE RESPONSIBILITIES:
- Provide clerical support to the OLP Principal
- Provide support to the OLP Principal in managing and organizing their work and office functions
- Assist in managing program and department budgets that are under the purview of the OLP Principal
- Answer telephone calls and respond appropriately and courteously to requests for information
- Coordinate staffing data and decisions with appropriate district staff
- Assist in the coordination and collection of reporting data
- Attend meetings, serve as recording secretary, proofread and distribute final minutes to participants
- Process all enrollment requests
- Perform other tasks and assume other responsibilities as the OLP Principal assigns
- Public Relation responsibilities including the following:
- Respond to all questions/concerns of a general nature not requiring specific attention of the principal (lunch money, attendance, school hours, events)
- Promotes school to the community
- Register new students and arrange for their orientation to the building
- Receives and distributes phone messages, mail and notices to staff
- Meet substitute teachers, familiarize them with the building and show them their room assignment
- Maintain confidentiality
- Maintain orderly and inviting reception area
- Clerical Management tasks including the following:
- Carry out office procedures according to district guidelines and/or building policies
- Create new procedures/forms when need arises
- Maintain the school calendar and student cumulative files and permanent record cards, recording test scores, attendance, and financial records
- Collect school fees
- Telephone parents regarding student absences
- Prepare attendance reports, issue supplies, and prepare requisitions
- Operate all office machines and assist all staff in the use of machines
- Type correspondence, reports, handbooks and other written communication for the principal
- Assist the CFI with answering doors and phones, packages, deliveries, US and campus mail distribution,
- Provide assistance with set up, tech support, guest accommodations for professional development at the CFI
- Assist with CFI interviews
- Building usage announcements/closures due to construction or special events, scheduling of events, consult/collaborate with physical plant and custodial staff for the needs of the building
