About the role
We're on the lookout for an Executive Assistant (EA) to join us on a 10-12-month maternity cover, supporting two of our senior Directors - UK Client Partnership Director & Europe Lead and UK Sales Director. With the current post-holder due to head off on maternity in early June, we're looking for someone to start in early May to allow for a full handover.
This role will be right at the heart of the action; from managing complex diaries and travel plans, to supporting with major events like the Outdoor Media Awards, PGA, Silverstone and even Cannes. You'll be a key point of contact internally and externally, representing the business with warmth, professionalism and a calm manner, even when things get busy.
What you will be doing.
This is a high-functioning EA role where you'll need to be confident managing priorities, juggling multiple stakeholders, and building strong relationships quickly.
Diary and inbox management for two senior Directors, both of whom are incredibly busy and client-facing
Coordinating a high volume of internal and external meetings- booking rooms, arranging catering, and making sure everything's prepped and ready
Booking travel and accommodation, keeping plans up to date and coordinating logistics as needed
Taking minutes and preparing documents when needed, as well as managing databases and filing systems
Managing logistics and guest lists for high profile events. You'll be front-of-house, welcoming senior clients and ensuring everything runs smoothly
Working closely with other EAs across the business and covering for them as needed during leave (including occasional support for our MD)
Acting as a key contact for their teams (7 people in total), supporting with admin tasks and helping keep everything on track. As well as being responsible for logging holiday and recording any sick leave for their teams
Jumping in to help other teams or stakeholders on an ad hoc basis. Whether it's pulling together a deck, updating lists or prepping for a last-minute meeting
About you.
You're an experienced EA who's used to juggling a lot and staying calm under pressure. You enjoy being the go-to person, keeping things running smoothly behind the scenes and building great relationships along the way
You've supported senior leaders before and know how to manage complex diaries, inboxes, and travel with confidence
You're organised, proactive and take real ownership of your work
You're comfortable working independently, but also enjoy being part of a close-knit team
You're great with people, personable, professional and able to build strong relationships at all levels
You're confident handling sensitive information with discretion
You're happy to jump into new things, support others and bring a flexible mindset to your day-to-day
