City Cast is seeking a highly organized, detail-oriented Operations Coordinator to help maintain operations and provide cross-functional support to key stakeholders in operations, HR, and leadership. The coordinator will catch balls, dot i’s and cross t’s for City Cast’s fast-moving team. Our ideal candidate is customer service oriented, with a strong attention to detail, excited for the challenge and passionate about providing exceptional support.

Key Responsibilities:
- Assist executive team with day-to-day operations at City Cast as needed
- Coordinate and help manage the ordering, designing, printing, and shipping of promotional items
- Book and coordinate occasional travel arrangements
- Manage new job listings as needed by leadership
- Copy-edit and polish documents and presentations
- Design and mail business cards
- Manage user accounts and systems along with operations team
- Troubleshooting systems and technical issues as needed
- Update documentation of operational processes and resources in collaboration with Operations Manager and Director of HR
- Serve as a resource for staff, pointing employees in the direction of proper documentation, policy, and answer questions when possible
- Assist HR with administrative tasks
- Onboarding and offboarding tasks for employees and contractors
- Assist in bi-weekly payroll tasks
- Process staff education initiative requests
- Maintain accurate employee data in various company systems
- Work with Payments Coordinator on paying invoices as needed
- Coordinate and distribute online lunch credits for team lunch
Preferred Qualifications:
- Strong attention to detail
- Exceptional at coordinating and managing multiple tasks
- Ability to prioritize, delegate, and manage multiple projects efficiently to keep operations running smoothly.
- Top notch people skills
- Basic graphic design skills, familiarity with Canva
- Comfortable working in project management and task tracking systems
- The ability to handle confidential information with discretion.
- No podcasting experience necessary but it helps if you’re familiar with digital media publishing.
Required:
- At least 2 years of experience in administrative support, HR, coordination, or a similar role.
- Proficiency in Google Workspace (Google Calendar, GMail, Google Docs)
The Operations Coordinator will report to City Cast’s Chief Operating Officer. This position is full-time, with excellent benefits. The annual salary range is $65,000 - $75,000, depending on experience. Your work will be remote.
