Responsibilities:
Payroll Processing & Compliance
- Process bi-weekly payroll for 300+ employees across multiple states for both hourly and salaried employees along with different tax identities.
- Ensure payroll accuracy, including deductions, garnishments, benefit changes, and tax withholdings.
- Resolve payroll discrepancies and respond to employee inquiries in a timely and professional manner.
- Review employee timecards and records, working with remote and local employees to make corrections and resolve issues.
- Maintain compliance with federal, state, and local payroll laws (PTO, LOA’s) and ensure proper payroll tax registrations.
- Partner with Finance and HR to reconcile payroll reports and ensure accurate general ledger postings.
- Audit systems to ensure accurate data is flowing to payroll and vice versa.
HR Compliance & Employee Support
- Administer onboarding and offboarding processes, ensuring compliance with I-9, benefits enrollment, and employee documentation.
- Maintain accurate employee records and ensure compliance along with accurate data as it flows into payroll, benefits, 401k and more.
- Manage leave administration, and other Leave requests; acts as liaison between employee, employer and TPA. Including FMLA, workers’ compensation, short-term disability (STD), long-term disability (LTD), and other state leave requirements.
- Support 401(k) plan administration, including enrollments, contribution adjustments, and certain compliance requirements as it relates to payroll needs.
- Assist in employee relations matters, escalating issues when necessary.
HR Functions & Administrative Support
- Provide administrative support to the HR department for multiple locations/entities, including data entry, filing, reporting, managing email inboxes, maintaining employee records, and answering basic HR related inquiries from employees via email and over the phone.
- Stay up to date on state and federal labor laws, ensuring company policies remain compliant.
- Assist with HR projects, such as policy updates, employee engagement initiatives, and training programs.
Qualifications:
- 3+ years of experience in multi-state payroll processing and HR administration.
- Strong knowledge of payroll systems and HRIS software (BambooHR and Paylocity experience a plus).
- Familiarity with FMLA, STD/LTD, state-specific leave laws, and payroll tax regulations.
- Experience managing hourly and salaried payroll, including various employee classifications.
- Strong attention to detail, accuracy, and compliance with payroll and HR regulations.
- Excellent communication skills to interact with employees and management on payroll and HR matters.
