Position Overview
Neal R. Gross & Co is a leading Court Reporting and Transcription services company and have provided nationwide services for more than 45 years. We are seeking a Scheduling Manager to oversee the scheduling department, ensuring the efficient coordination of court reporters, videographers, and interpreters for depositions, hearings, trials, nettings, and other legal proceedings. This role is critical to balancing client needs with company resources while maintaining high standards of service and operational efficiency.
Key Responsibilities
• Department Leadership: Manage and support the scheduling team, ensuring smooth daily operations, providing training, and implementing best practices.
• Scheduling Coordination: Oversee the assignment of court reporters, videographers, and interpreters based on availability, skill level, and client requirements.
• Process Optimization: Develop and refine scheduling workflows to improve efficiency, reduce scheduling conflicts, and streamline communication.
• Client and Reporter Relations: Serve as the escalation point for complex scheduling issues, working closely with clients and independent contractors to resolve conflicts.
• Technology and Data Management: Utilize and maintain scheduling software, ensuring accurate record-keeping and generating reports for operational analysis.
• Compliance and Policy Adherence: Ensure all scheduling practices align with company policies, client contracts, and industry regulations.
• Cross-Department Collaboration: Work closely with business development, contracting, and billing teams to align scheduling efforts with overall company goals.
• Performance Monitoring: Track key performance indicators (KPIs) to assess the efficiency and effectiveness of the scheduling department.
• Experience: 5+ years in scheduling, operations, or a related field, preferably within court reporting, legal services, or a high-volume scheduling environment.
• Leadership Skills: Demonstrated experience managing teams, fostering collaboration, and driving performance improvements.
• Technical Proficiency: Familiarity with scheduling software and Microsoft Office Suite. Experience with legal industry-specific platforms is a plus.
• Problem-Solving Ability: Strong critical thinking skills to manage last-minute changes and complex scheduling challenges effectively.
• Communication Skills: Excellent verbal and written communication skills to coordinate with internal teams, clients, and vendors professionally.
• Time Management: Ability to handle multiple priorities, work under tight deadlines, and maintain attention to detail.
