Executive Assistant, VP of Engineering and Senior Director of Engineering
Grafana Labs is looking for an experienced Executive Assistant to support Dee Kitchen, our Engineering VP (based in London, UK), and David Kaltschmidt, our Senior Director (based in Berlin, Germany), who are both native English speakers.
You will have exceptional verbal, written and organizational skills with a consistent track record of success in supporting executives in a fast-paced, highly dynamic work environment. You are high energy with a pro-active, empathic attitude, yet you are a mature professional who is gifted with the ability to handle challenging situations with grace, tact, and a sense of urgency. You also understand that different executives have different preferences and styles and can adapt to them.
For context, the two leaders manage a combined 250 engineers and managers across 25+ countries globally and from a diverse range of backgrounds. As a consequence their calendar schedules are complicated and they occasionally have long working days. Their combined travel is at least 20+ weeks of the year. We're looking for an EA to help lift as many delegatable tasks as possible from the leaders, to help them focus on where they bring the greatest value.
This role will report to the VP and be based in the UK as a remote position.
A typical week may look like
Maintaining busy calendars and daily schedules in Google Calendar, fielding and prioritizing requests, reacting to changing priorities.
Coordinating extensive domestic and international travel for the VP and Senior Director
Help triaging and organize emails as necessary
Helping to organize department level all-hands meetings, leadership meetings, and offsites. Providing support on: agenda, slide decks, logistics, invites, catering, meeting notes, and action items.
Managing expenses for the VP and Senior Director in a proactive, fiscally alert manner
Working with the sales, events, and marketing teams to schedule the two leaders attendance at customer facing events and customer site visits
Maintaining a positive, respectful, collaborative, and effective working relationship with all members of the Grafana Labs team
Managing ad-hoc projects and working groups for the executives and the company as needed

Experience of working remotely and/or coordinating with peers and team members globally, whilst understanding the challenges and opportunities of remote working and remote communication - you will need to be an excellent communicator in all channels (in person, online, in writing) and able to form strong working relationships both in person and virtually, with people from a wide variety of backgrounds
Highly competent with the tools we use such as Google Docs/Slides/Sheets, Slack, and Zoom
Flexibility to support off-hours availability for questions, meetings, projects
Experience with basic project management
Experience with basic event management
The successful EA will be a person who can build a high trust relationship with both execs in this remote environment, and who demonstrates an enthusiasm to learn, a willingness to be involved on all fronts, and able to lift as much work from the execs as possible. In the UK, the Base compensation range for this role is 55,178 - 68,972. Actual compensation may vary based on level, experience, and skillset as assessed in the interview process. Benefits include equity, bonus (if applicable) and other benefits listed here.
