Salary: The hiring salary for the Administrative Assistant II is starting at $57,800 annually. The full pay range for the Administrative Assistant II is $49,402 to $79,042.

About the Job:
The Information & Technology Services and Business Intelligence Departments are seeking a highly organized Administrative Assistant II to support their dynamic teams. The ideal candidate will be proactive, a quick learner, and excited about technology. They will leverage their prioritizing and multitasking skills to manage multiple priorities and will deliver exceptional customer service skills to all stakeholders.
What You’ll Do:
Schedule and organize meetings with internal and external stakeholders. Review contracts, agreements, and amendments for completeness. Compose, format, and review presentations, charts, reports, correspondence, and other documents as requested. Serve as the primary back-up for the front desk receptionist to greet visitors, and answer phone calls regarding the San Diego International Airport.
Work closely with internal departments to complete projects and tasks efficiently. Review invoices for accuracy and process check requests for payment. Handle monthly accounting accruals for the department and serve as the Purchasing Card (P-Card) holder for non-routine business purchases.
Assists with scheduling travel and processing travel reimbursement requests; prepares and routes agendas, materials, and packets for Board and Committee presentations. Coordinate meetings and events for department staff, take notes, and maintain the department director’s calendar, and schedule appointments and meetings as needed.
Serves as the department’s records coordinator; ensures electronic documents are filed appropriately per the Authority’s records retention policy; may assist with compiling information for public records requests of the department.
Coordinates work orders for repairs, upgrades, and modifications to Authority facilities or equipment with other departments or vendors; maintains payment records for contracted services; maintains inventory and orders office supplies and submits department timecards.

Time Management & Coordination: Ability to prioritize rapidly moving deadlines and various tasks to meet the department’s needs and manage personal workflow.
Customer Service: Provides assistance and support to the Department Director, departmental staff, and outside stakeholders on diverse and specialized clerical functions with a friendly and welcoming demeanor.
Communication: Proficiently exchange information through various avenues including verbal, digital, and written; facilitation and persuasion with both internal and external stakeholders.
Relationship & Interpersonal Skills – Cultivates interpersonal rapport and trust, both up and down, by exhibiting consistency and reliability.
Leveraging Technology - Effectively uses and generates information electronically and integrates technology solutions and systems.
Requirements
The Experience You Need to Have**:
Graduation from high school or G.E.D. equivalent.
Four years of increasingly responsible office administrative or secretarial experience.
Equivalent combination of training and experience.
Preferred Education, Certification, and Licenses:
Bachelor’s degree in Business Administration or a related field
Microsoft Office Specialist Certification (Associate/Expert/Master)
