About you
As a Property Administrator, you will be involved in various aspects of managing a commercial building – from operations and financial activities to managing important relationships with our tenants and property owners. From managing service contracts and tracking bid packages, to completing property inspections and making recommendations, you’ll have the opportunity to share your innovative ideas to continually improve how we manage our commercial properties.
In this role, you will
Responsible for reviewing all invoices and documentation to process payments to vendors, including collection of information needed for vendor setups, including Yardi Bill Pay setup for vendors. Assist with coding invoices for payment and processing.
Process tenant activity including billing tenant charges, entering cash receipts received via physical checks in-office, and delivering/scheduling AR related reports.
Assist with monitoring, reviewing, and processing tenant related activity, including rent, CAM and expense billbacks to landlords as assigned.
Review and approve payment disbursements as assigned/prepare ACH/wire/online payments for manager approval.
Monitor for fraudulent bank activity using check/ACH positive pay.
Provide administrative support for REMS management team and Sr. Accountant. Administrative duties include, but are not limited to, phones, mail, supplies, correspondence, filing, copying and faxing.
Assist Property Management staff and Sr. Accountant in preparation of various reports including, but not limited to, monthly and quarterly reports as well as year-end 1099s to vendors.
Receive and log work order calls, create and dispatch work orders, or facilitate and maintain tenant work order system such as IMPAK as well as HVAC inspection report tracking.
Assist new tenants in getting set-up on Commercial Café.
Other duties as assigned.
What you’ll bring
2 years’ in property management, commercial or residential.
Proficient in Microsoft Office (MS Outlook, MS Word, MS Excel).
Familiarity with real estate software such as Yardi, MRI, etc.
Contract management experience.
Experience with leasing agreements and vendor documents.
