Title: Legal Administrative Assistant

$55,000.00 - $90,000.00 Salary
Under general supervision, supports the delivery of quality legal services to clients by providing secretarial and administrative support to assigned attorneys, paralegals, or other timekeepers while working collaboratively and cooperatively with others in a team-oriented environment. The ideal candidate will have at least 3-5 years of general commercial litigation experience.
Essential Functions
Provides intermediate to advanced level legal administrative assistance as directed and required for the support of the firm and/or attorneys
Performs intermediate to advanced level clerical and administrative tasks including time entry; new business intake; drafting/preparing/revising legal documents, letters, memos; invoices; billing reports; audit letters; expense reports and other documents or correspondence for attorneys and timekeepers
Prepares documents for e-filing and files documents with appropriate courts or other administrative agencies specific to the practice area
Ability to prepare notebooks, exhibits and closing binders
May prepare docket entry forms for incoming and outgoing court documents and to document specific actions required for legal proceedings and personal or firm requirements
Proofreads to ensure accuracy of formatting, grammar, punctuation, syntax, and intermediate to advanced content in all documents, communications, and reports
Coordinates scheduling of and assists in preparing for appointments, meetings, and conferences; provides support to attorneys, clients, and visitors in office
Coordinates travel arrangements for timekeepers and clients with the firm's travel company; prepares itineraries and travel expense reports
May respond to and provide information to clients with attorney supervision
Creates and maintains files and indexes, both paper and electronic, as directed, and in keeping with firm's guidelines
Processes and tracks legal work; records and monitors deadlines
Coordinates client billing process; works directly with billing to troubleshoot billing issues
Greets and welcomes visitors; answers and directs phone calls
Processes incoming and outgoing mail, including arranging special mailings and courier services with Office Services department
Collaborates with other departments to complete some office functions
Performs other duties as assigned

Intermediate to advanced proficiency with, or ability to learn, software programs(s) used by the firm for conflicts and new business intake, recordkeeping, timekeeping and billing, document management and workflow and willingness to attend trainings and develop proficiency when new technologies are rolled out
Intermediate to advanced word processing skills
Intermediate to advanced understanding of legal, clerical, and court systems
Ability to organize and prioritize tasks including delegation of tasks when appropriate
Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and any specifically applicable laws or guidelines
Ability to recreate content based on experience
Mentor Role
Will train incoming staff on general firm processes and core practice areas
Work Environment
This position requires the employee to work in a professional office environment with some ability to work from home. Because the employee will handle sensitive firm and client information, the employee must work from a home office and not a public location during any remote periods. The employee will routinely use standard office equipment.

Position Type and Expected Hours of Work
This is a full-time, benefits eligible position. Hours are Monday through Friday, 8:00 am to 5:00 pm, with some flexibility in start and end times and a minimum of 3 days in the office. Occasional overtime is required.
Required Education and Experience
High school degree or equivalent and 1 year of relevant legal experience
Preferred Education and Experience
Bachelor's Degree, Notary Public, minimum of 3 years of law firm experience
Salary range is based on or commensurate with experience.
