Executive Assistant to VP Studio Technology

Job Description
Our client, an entertainment company, is looking for an Executive Assistant to support three VPs in Studio Technology for a 12 month contract!
Please note, this role will work a hybrid schedule.
Responsibilities:
Act as the first point of contact for the office of three VPs
Perform administrative duties including screening and routing phone calls, managing calendars, processing invoices and expense reports, creating presentation material, scheduling meetings, and ensuring timely and effective communications
Perform the role of a proactive partner and collaborator to the VPs
Provide additional office support such as photocopying, scanning, tracking documents, data entry, word processing, and ordering supplies
Manage the planning, coordination, and execution of business travel, including trip logistics and itinerary, meeting coordination, and remote support of executives who are out of the office
Create presentations using PowerPoint, Microsoft Word, and other software
Support preparation of monthly and quarterly reports
Interface with various departments and external organizations
Participate in the secretarial team, providing backup to other assistants and contributing to common administrative duties
Assist with correspondence and prepare responses to routine inquiries
Communicate effectively with Executive and Senior Executives
Post, update, and maintain documents to SharePoint and other collaboration sites
Track and manage special projects as needed
Coordinate Townhalls and Events for Shared services, as well as assisting with Studio Technology events
Work with both on-site and third-party caterers for lunch meetings
Build and maintain good relationships with partners and trusted vendors, internal and external
Qualifications:
Bachelor's degree in a related field
4+ years of administrative experience supporting senior-level executives in a corporate environment
General knowledge and/or experience in the Technology industry
SAP Casual Buyer and T&E Proxy experience
Proficient in Microsoft Word, Excel, Outlook, PowerPoint, Teams
Proficient in Airtable
Proficient in SAP transaction support or with sufficient system experience to learn quickly
Excellent written, verbal, and interpersonal communication skills
Ability to effectively and professionally interface with high-level executives, clients, business associates, and employees
Ability to work effectively in a team environment
Ability to handle confidential and sensitive information
A self-starter with the ability to anticipate issues and proactively problem solve
Strong organizational and follow-through skills
Proven experience in multi-tasking and working with multiple people and priorities
Ability to manage time wisely and prioritize effectively in a fast-paced environment
Demonstrate flexibility and professionalism in an environment where change is constant
