Hybrid:
This role is categorized as hybrid. This means the successful candidate is expected to report to Warren Technical Center three times per week, at minimum or other frequency dictated by the business.
The Role:
The primary role of the Executive Administrative Assistant is to provide administrative support to the Executive Chief Engineer of Global Mid-Size Truck, Medium-Duty Truck, Van, GM South America and GMI Exports as well as other leaders within the organization. Responsibilities will include heavy calendaring, scheduling and making travel arrangements.
You will demonstrate the ability to make pro-active decisions based on established priorities and intimate knowledge of staff needs. Administrative skills require a high degree of accuracy and coordination across multiple groups both inside and outside of the team. Additional responsibilities include coordinating the department activities and supporting ad hoc staff needs.
What You'll Do:
Conserve leaders’ time by assuming administrative details
Collaborate with GM Executives, Directors and their Admins at all levels
Provide back-up support as necessary
Exercise independent judgement in handling ambiguous tasks with minimal input from staffs
Schedule meetings and maintain dynamic calendars of multiple executives
Expedite handling of correspondence and phone calls
Arrange US and global travel, including passport & visa requirements and expense reporting
Maintain dedicated conference room scheduling, tenant planning and office space for the department
Demonstrate and embody GM behaviors
Maintain records, confidential files and GM specific reports
Maintain staff and department group distribution lists
Assist with onboarding/offboarding new team members
Complete various assignments as requested
Additional Job Description
Your Skills & Abilities:
Must have 3-5 years’ of experience in an Executive Administrative Assistant role
Must have experience and confidence dealing with Senior Executives in an administrative capacity
Highly proficient oral and written communication skills
Advanced proficiency in grammar, spelling, proof reading
Proficient in Outlook, Word, Excel, PowerPoint, Microsoft Teams
Proficient in video conferencing and other applicable technology
Strong interpersonal skills who can work with all levels of the organization
Skilled problem-solver with capability to determine solutions with unusual and/or complex problems
Must have exceptional skills and experience in planning and organization
Must be flexible and be able to quickly change direction throughout the day
Experience preparing presentations and written communications

Automotive and/or Defense Acquisition experience preferred
