Your ‘day to day’:
• Executive Assistant for 2 senior communications executives
• Planning, orchestrating, and executing work to ensure the senior management priorities are met, organizational goals are achieved, and best practices are upheld.
• Maintaining and refining internal processes that support to the senior management and coordinating internal and external resources.
• Manage the schedules and agendas of the executives and act as liaison for them.
• Arrange travel, accommodation, itineraries, and all correspondence related to arrangements as needed. Coordinate travel & entertainment expenses.
• Arrange meetings, take notes, prepare memos, and follow up on actions as required to ensure the senior management priorities are met
• Manage senior management expenses.
• Coordinate arrangements for a variety of company events, meetings, luncheons, and employee team building activities or special projects both internally and externally.
• Prepare reports, presentations, and data, as well as maintaining files, records, and correspondence.
• Support the arriving and departing logistics of assignees in the designated functions.
• Handle information requests which require finding elements from various sources and prepare ad-hoc correspondence and reports.
• Support budget process & process invoices, vendor creation, contracts and managing contractors
• Secure the execution of the administrative duties during senior’s management absence in the office.
• Handle confidential information; organize and maintain files. Ensure that the required documents are archived as per PMI RIM practice.
• Assist with special projects that require project management skills
• Collaborate with other assistants to improve internal process, suggest efficiencies based on the Company goals
• Other functions may be assigned as necessary. The Company retains the discretion to add to, to eliminate, and to change the duties of the job description at any time.
Who we’re looking for:
• 8+ years of experience as an executive assistant or other relevant administrative support experience working.
• A proactive approach to problem-solving with strong decision-making and organizational skills.
• Collaboration skills.
• Ability to prioritize and meet deadlines in a fast-paced quickly changing environment.
• Strong time-management skills and the ability to coordinate multiple projects at once.
• Project management certification is preferred.
• Professional level of verbal and written communications skills.
• In-depth understanding of entire MS Office suite and virtual work tools.
• Bachelor’s Degree is preferred.
• Legally authorized to work in the U.S.
Annual Base Salary Range: $84,000-$126,500
