DOF Subsea is currently seeking an individual for the onshore position of Warehouse and Facilities Coordinator.
The Warehouse and Facilities Coordinator will coordinate the activities and operations of Houston DOF warehouse facility. The ideal candidate will be responsible for ensuring the efficient receipt, storage, and dispatch of a wide range of goods and equipment. The Warehouse and Facilities Coordinator will also be responsible for maintaining accurate inventory levels, status of goods and equipment, and coordinating with Logistics to ensure compliance with all relevant regulations and standards. The candidate will serve as liaison between DOF and its vendors and building maintenance. The role will support the postal services and be responsible for maintenance of the DOF security system. Furthermore, the candidate will provide support and back up for shipping/receiving along with office meetings/events. This role requires excellent communication as well as the ability to work under pressure and meet tight deadlines.
DUTIES/TASKS:
Task can include, but are not limited to:
Warehouse
- Confirms availability and status of items to be shipped prior to arranging transport
- Prepares product for shipment by verifying location; directing movement to staging area; resolving problems
- Documents actions by completing forms, vessel manifest, reports, logs, and records; maintaining databases
- Manually handles, repacks, or restacks pallets of materials as needed for shipping or stori
- Cooperate with supervisors and managers on Health, Safety and Environmental matters
- Comply with Company’s HSE policy
- Report any Health, Safety or Environmental concerns to the HSEQ department
Facilities
- Provide general maintenance of office (i.e., replacing light bulbs, ceiling tiles, water filters, hand soaps, paper products, etc.)
- Assist with packaging shipments and receiving items via UPS, Fed Express, etc.
- Utilize forklift to move items in the warehouse as needed
- Be available to make deliveries for warehouse and workshop
- Assist with front desk activities (e.g. receiving calls, front door monitoring)
- Support DOF staff when and where needed to assist with archival of DOF HR/Acct. staff records
- Assist HR department with set up of meeting rooms for monthly meetings and special events, coordinating lunch when requested
- Participate in new hire onboarding by distributing building access badges. Manage electronic badge system and files.
- Equipment pickup and drop off from vendors
- Keeps the DOF vehicles (mini-van and truck) up to date regarding tags, oil changes, etc.
- Provide personnel coverage for the warehouse as needed
RESPONSIBILITIES
Warehouse
- Maintain the daily activities in the Houston workshop and warehouse areas·
- Ensure that proper procedures are being followed for offloading, testing equipment, storing of inventory equipment/parts and liaising with Logistics Coordinator
- Ensure that adequate consumables stocks are available to meet project requirements
- Maintain a high level of organization in the warehouse
- Manages the daily flow of materials and corresponding storage space assignments
- Maintain and organize the Workshop project folders (i.e. warehouse inventory and items related to tracking the equipment)
Facilities
- Maintain the DOF security system as it relates to creating security badges and monitoring of camera system. Liaison with the security alarm vendor.
- Maintain Monthly facility inspection, coordinate facility maintenance, and schedule service calls
- Maintain HVAC system within the DOF office area and coordinate as needed with HVAC vendor
- Responsible for removing recyclables to outside bin in yard area daily
- Maintain the USPS postal equipment. Pickup and deliver incoming/outgoing mail to post office drop box on site.
- Order and maintain coffee supplies, maintain inventory and coordinate with coffee vendor for service
- Maintain service and maintenance of forklifts and DOF company vehicles
- Manage cleaning services, first aid supplies, and general office supplies
- Maintain copiers/printers and replenish copy paper and toner as needed
- Initiate annual fire drills as part of emergency response team. Ensure employees are gathered safely at muster point.
REQUIREMENTS
EDUCATION AND COMPETENCY
- Required Education - High School Graduate or GED – Some College (Preferred)
Work Experience:
- 3+ years in coordinating warehouse activities and projects in the offshore industry field
- 3+ years previous experience with facilities in a professional office environment
- Experienced and knowledgeable in warehouse operations and organization
- Knowledge of facilities maintenance and vendor coordination
- Knowledge of security systems, HVAC, and other facility systems
- Knowledge of customer service principles and practices
- Strong background in shipping, receiving, and inventory management
Skills:
- Valid state motor vehicles operator’s license for forklift truck required
- Proficient in Microsoft Office Suite
- Demonstrate safe work history
- Experience with Pitney Bowes equipment, copiers and office equipment
- Excellent verbal and written communication skills
- Thorough understanding of warehouse policies and procedures
- Excellent organizational, problem solving, multitasking skills and attention to detail
- Good analytical skills and ability to make sound judgements relative to inventory
- Ability to work with all levels of management
- Self-motivated, positive attitude, professional
- Willingness to work extended hours when needed
Work Environment and Physical Demands
- Works in the warehouse and office environment approximately 100% of the time using standard office equipment
- Travel – occasionally makes short trips in company vehicle
- May spend time at offsite subcontractor location which can involve moderate exposure to noise levels and machinery
Physical requirements:
- Generally sitting at desk, working on computer
- Walking around building both inside and outside
- Occasionally work at heights, on a 6’ or 12’ ladder
- Approximately two to three times a year, climbs up and works on the roof of the building
- Frequently lifts, carries, pushes, or pulls up to 75 lbs.
