Havas Formula, a national public relations and experiential marketing agency, is seeking an Operations Assistant in our El Segundo, CA office. The role provides top notch administrative and front office support and ensures the agency runs like a well-oiled machine. This is an in-person full-time role, Monday-Thursday, and remote on Friday, 8 am to 5 pm
Hourly Rate: $24.00, eligible for overtime
Job Description :
Responsibilities
Oversees office and responsible for day-to-day logistics.
Manages incoming and outgoing mail and packages.
Answers and directs all incoming phone calls
Greets and assists guests and notifies appropriate staff of their arrival
Manages all conference rooms, ensures they are well maintained and ready for clients
Manages the office calendar and fixes scheduling conflicts
Works with staff to upkeep and organize client incoming product.
Ensures office and kitchen supplies are always stocked. Anticipates upcoming needs.
Manages office events, including weekly breakfasts, happy hours, and monthly employee activities.
Assists with the onboarding of new staff, desk set up, tour, etc.
Assists with agency tools and subscriptions
Ad-hoc tasks and projects within Operations, HR, and Accounting departments
Administrative support to senior management as needed
Contributes positively to the agency culture, atmosphere and values and exudes a positive outlook on the team
Establishes professional and respectful employee relationships within the division and agency
Qualifications
High school diploma or GED
A minimum of 1 year of relevant experience
Takes pride in a well-organized and clean office.
Strong written and verbal communication skills.
Capable of multitasking and strong prioritization and organization skills.
Excellent attention to detail
Self-motivated and able to work well in a fast-paced environment.
Great at time management and follow up.
Must be flexible and have a welcoming attitude.
Experience with MS Office (Word, PowerPoint, Excel and Outlook)
Concur and expense experience is a plus
