About the role:
We are seeking a proactive, highly organized Executive Assistant to support our CEO. This role will go far beyond traditional administrative tasks. You’ll be entrusted with strategic responsibilities, including email and task management, internal project coordination, and process optimization. The ideal candidate is early in their career, with ambitions to eventually take on a Chief of Staff–type role.
Because our CEO travels frequently—including internationally—this position requires flexible hours and a willingness to go above and beyond a typical 9-to-5 schedule. You will need to be physically present in our Atlanta, GA office in a hybrid capacity. U.S. citizenship is required given our work with government and military partners.
As the Executive Assistant to the CEO, you will have:
1. High-Level Administrative Support
Manage complex calendars, schedule appointments, and arrange travel itineraries (domestic and international).
Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO.
Prepare meeting agendas, take meeting notes, and follow up on action items.
2. Strategic Inbox & Task Management
Prioritize incoming correspondence in the CEO’s email inbox; draft and proofread sensitive documents and communications.
Act as gatekeeper to ensure the CEO’s time is allocated effectively.
Proactively suggest and implement email and task management systems or tools to increase efficiency.
3. Project Coordination & Process Improvement
Track and manage key projects, collaborating with cross-functional teams to ensure deadlines are met.
Identify operational bottlenecks and propose improvements to streamline internal processes.
Assist with special projects or initiatives that support Ditto’s long-term strategic goals.
4. Internal Communications & Office Coordination
Coordinate events, internal meetings, and offsites (virtual or in-person).
Liaise with other departments to gather updates, prioritize issues, and ensure seamless day-to-day operations.
Oversee executive office logistics, including hosting visitors and coordinating on-site requirements.
5. Chief-of-Staff Development Path
Take on initiatives that will develop your leadership and strategic thinking skills in preparation for a future Chief of Staff role.
Research and brief the CEO on emerging opportunities, technologies, or partnership potentials aligned with Ditto’s growth.
Gradually assume a broader organizational perspective, contributing insights and recommendations at higher levels.
6. Flexibility & Availability
Given the CEO’s extensive travel schedule (including international trips), be prepared to respond to urgent matters outside regular business hours.
Adapt quickly to shifting priorities and new responsibilities as the company evolves.
What you'll need:
Required
U.S. citizenship (due to work with the U.S. military).
Must be based in or near Atlanta, GA, with the ability to come into the office on a hybrid schedule.
Bachelor’s degree or equivalent experience (e.g., internships, relevant assistant/operations roles).
1–3 years of professional experience in executive support, administration, or related fields.

Familiarity with project management tools (e.g., Trello, Asana) and process-automation software (Zapier, Integromat).
Demonstrated interest in scaling businesses and/or previous exposure to Chief of Staff responsibilities.
